How Do You Forward Dental Office Calls to an AI Receptionist?
Keep the office number you already publish. Choose which calls forward, and when: no-answer after a set number of rings, busy, lunch, after hours, or every call. Set that rule in your carrier or VoIP admin portal, then place a test call on every path before you go live.
Do you have to port or change your office number?
No. Keep the number callers already use, because the FAQ says Aria supports SIP forwarding from any major VoIP or carrier setup, with no number porting and no phone hardware replacement.
The integrations page says the same for VoIP, SIP, or a traditional carrier. The FAQ says Aria picks up when the front desk does not, or all the time if you choose. Put that rule on the number callers already dial.
Which forwarding mode should a dental office use?
Match the mode to the hours a person at the desk can answer. Forward every call when Aria should take the published number all the time, and use no-answer, busy, or a schedule when the desk should still get the calls it can take.
| Mode | What it does | When it fits | Watch out for |
|---|---|---|---|
| Forward all calls | Every inbound call on that number goes to Aria. The desk does not ring first. | Aria should answer the published number all the time, including open hours. | The desk no longer hears that line. On Nextiva, a higher-priority rule overrides a lower one. |
| No-answer, after a set number of rings | The desk rings, then the call forwards if nobody picks up. | Someone is usually free to answer, and you still want a backup. | Use only the ring count the portal or carrier allows. |
| Busy | Forwards when that line is already in use. | The office is open and the desk line can be busy. | Nextiva describes this for a user on a call with call waiting off, or with Do Not Disturb on. If the line never shows busy, this mode does nothing. |
| Scheduled time of day | Forwards during hours you set, such as lunch, after close, or weekends. | The desk covers open hours, and a known gap needs an answer. | On RingCentral, a schedule of 24 hours, 7 days a week makes after hours match work hours until you edit it. |
| Overflow from a hunt group or call queue | The group rings first. An unanswered call can then forward if the rule is on the group. | Several people share the number callers dial. | Nextiva says a user rule does not forward call-center or call-group calls. |
Nextiva’s call forwarding overview is the source for the priority order and the group limit. RingCentral’s user call forwarding article is the source for the schedule and for sending a missed call to an external number.
How many rings before a call should forward?
Long enough for a free person at the desk to pick up, and short enough that the caller is not left ringing. The ring-count options come from your carrier or VoIP portal.
Call from another phone while you stand at the desk. If you can pick up before the forward, the wait fits a free desk. If Aria answers while you are still walking over, it is short. If rings continue after a free person had time to answer, it is long.
Nextiva’s overview says unanswered forwarding uses a specified number of rings. Verizon’s wireless conditional call forwarding page says a busy or unanswered call can be sent after 3-6 rings, instead of to voicemail.
Where do you set it up?
Set it in the carrier or VoIP admin portal, or in the desk-phone system settings. Your phone vendor support, or the person who administers the phones, can open that screen with you.
These help pages show how three vendors name the same choices. They are not steps for every brand:
- Nextiva’s call forwarding overview covers always, busy, unanswered after a specified number of rings, and selective rules. A user rule does not include call-center or call-group calls.
- RingCentral’s user call forwarding article covers separate work hours and after hours, and missed calls forwarded to an external number.
- Verizon’s wireless conditional call forwarding page describes busy or no-answer forwarding after 3-6 rings, instead of voicemail. Confirm the setting in the account tools for that line.
After you save, write down the number the rule sits on, the mode, the hours or ring behavior, and who can turn the rule off.
How do calls get back to the front desk?
When the desk is open, Aria can transfer the call to the front desk, create a callback request, or escalate under the rules you set. Those rules decide what a person still takes after the forward delivers the inbound call.
The FAQ names those modes. If the forward is off, they never run, because the call never reached Aria. Which calls Aria finishes and which it hands back to a person is covered in how to set transfer rules for a dental AI receptionist. Aria answers the inbound calls you assign.
What should you test before going live?
Place a test call on every path you turned on, from a phone that is not the desk line, before callers use the rule. The FAQ includes test calls during setup, before full deployment, and this list is only the forwarding checks.
- Call during open hours and let it ring. No-answer should ring the desk first. Forward-all should not ring the desk.
- Call while the line is busy. Stay on the desk line, then call in. The second call should reach Aria. If it does not, call waiting or a group may be taking it.
- Call during the lunch window you saved, then call outside it. Aria should answer only inside the window.
- Call after hours, and on a weekend if you scheduled one. On RingCentral, after hours match work hours until you edit a 24 hours, 7 days schedule.
- Request a transfer while the desk is open and your rules allow it. The desk should receive the call.
- Leave a callback request when the desk is not taking transfers. Confirm a person can see who called, why, and the timing preference.
- Check the schedule and the call summary. A booked test visit should show in Open Dental when write-back is connected, or on the calendar when calendar sync is on. The call summary should show who called, why, and a booking, a transfer, or a callback request. Remove the test visit when you finish.
- Remove or adjust the old voicemail routing. If an old voicemail rule still catches calls first, callers reach voicemail instead of the forward. Wording, if you still use a greeting, is the voicemail greeting post.
Leave the rule off for callers until each path you intend to use has passed.
Hear the forward on a live demo
Bring the mode you plan to use: no-answer, busy, lunch, after hours, or every call. Hear a live demo, or book a demo and walk the test list.

Do you have to change the office phone number?
No. Keep the number callers already use. Aria supports SIP forwarding from any major VoIP or carrier setup. No number porting is required, and the desk phones stay.
Should every call forward, or only the ones the desk misses?
Forward every call when Aria should answer that number all the time. Otherwise use no-answer, busy, or a schedule for lunch, after hours, and weekends. If callers reach a hunt group or queue, put the rule on that group. Nextiva says a user rule does not include call-center or call-group calls.
How many rings should pass before forwarding?
Long enough for a free person at the desk to pick up, and short enough that the caller is not left ringing. Nextiva uses a specified number of rings for unanswered calls. Verizon sends a busy or unanswered call after 3-6 rings, instead of to voicemail.
How does a forwarded call get back to the front desk?
When the desk is open, Aria can transfer the call to the front desk, create a callback request, or escalate under the rules you set. Which calls Aria finishes on its own and which it hands to a person are set in your transfer rules during setup.
What should you test before callers use the new rule?
Call during open hours and let it ring, while the line is busy, during lunch, and after hours. Ask for a transfer, leave a callback request, and check the schedule or calendar and the call summary. Then change the old voicemail routing.
Where do you change the rule later?
In the same carrier or VoIP admin portal, or the same desk-phone system settings, where you turned it on. Your phone vendor support or the person who administers the phones can open that screen. Save a note that names the number, the mode, and who can turn the rule off.
